Guidelines for Hospitality Bookings
Booking times:
- 8.30 – 17.00 Monday to Thursday
- 8.30 – 15.30 Friday (Including de Havilland campus)
- Any booking must be made with minimum of 48 hour notice
- Any bookings out of hours require 5 days notice.
Booking minimum/maximum quantity:
- Bookings are for a minimum of 6 people
- No maximum quantity, except legal amounts allowed
- in rooms requested
Delivery charges:
- During working hours
- No additional delivery charges will be added when delivering at:
- Hatfield Main Campus- B,C& D corridors
- de Havilland Campus -M,N & R blocks
- Sports Village & Club de Havilland.
- All other areas will be subject to a minimum charge of £20
- Out of working hours
- Weekday-labour charge of £35 per person per 3 hours
- will be levied
- Out of hours minimum function charge £120
- Late orders will be subject to a late booking fee of £0.50
- per person (less than 48 hours notice)
Prices quoted:
- All prices quoted are per person and are exclusive of
- VAT, the prevailing rate being 17.5%
Equipment:
- If tables and other furniture is required for the event,
- please contact Porters on ext. 4919
- A charge WILL be made for any equipment that is not
- returned after your function. If further information is
- required on replacement charge costs, please contact
- Foodhertfordshire.
Once you have booked online:
Edit bookings:
- You will be able to edit the booking, up to lead times
Cancellation bookings:
- You will be able to cancel the booking, up to lead times

Cancellation changes:
Tea / Coffee
- 48 hours- no charge.
- 24 hours- total cost of booking liable
Sandwich lunches
- 48 hours- no charge.
- 24 hours- total cost of booking liable
Buffet
- 48 hours- no charge.
- 24 hours- total cost of booking liable
Dinners
- 5 days- no charge.
- 48 hour total cost of booking liable
Receptions
- 5 days- no charge.
- 48 hour total cost of booking liable
Additional booking information:
- We are able to take 4 bookings per 15 minutes
- If all time slots are full, please contact us to see if we can
- accommodate your request in any way.
- We endeavour to deliver 10 minutes either side of your
- preferred delivered time
- All food items to be cleared within 2.5 hours of delivery
- times in accordance with food safety policy guidelines
- Menus subject to availability- products may be substituted
- Please note not all menus are available on all locations.
